Configure Care
Each church decides when someone shows up in the inbox of whoever looks after them. Inperia comes with values designed for most churches, and you can adjust them in Settings › Care. The screen explains each value with an example, so you don’t have to guess what it changes.
-
Go to Settings › Care.
-
Move each value. Next to it you see what it changes and an example that rewrites itself as you move it.
-
The bar at the bottom counts the unsaved changes. Select Save, or Discard changes to leave everything as it was.
How to read the screen
Section titled “How to read the screen”- Each section says which signal it decides and, under Where you’ll notice it, which parts of the app show it: the Care inbox, the Home dashboard, the Weekly summary or Reports.
- Each value shows its number, says what it changes and carries an example about someone, which rewrites itself as you move the control. With the default value, the visitors’ example reads “if Sofia came on Sunday at 11:00 AM and nobody logged a follow-up, she shows up 3 days later, on Wednesday at 11:00 AM”.
- Below each control you see Inperia’s value, under Default. If you chose another one, Back to the default brings it back.
- A value you moved and haven’t saved yet is marked Not saved, and the bar at the bottom says how many changes are waiting.
- Each section takes the whole width of the screen. On a wide screen, each value reads as one row: its name and what it changes on the left; the control, the example and the default on the right. On a phone, one below the other.
When a change applies
Section titled “When a change applies”- When you save, Care reviews everyone again within a minute or two.
- Visitors are also reviewed every hour, and a logged follow-up counts right away: the Visitors section below explains it.
- The reasons that depend on who is looking at the inbox (No follow-up, Missed their appointment and Leader who needs support) change the next time someone opens it.
- If you set a value back to its default number, from then on your church follows Inperia’s value, even if Inperia changes it later.
Absences
Section titled “Absences”The two signals every plan has. Only marked absences count.
- Absences in a row: after how many absences in a row someone shows up. By default, 3; from 2 to 12.
- Days away: how many days after they last came, if an absence was marked since then. By default, 30; from 7 to 180.
New people From the Growth Plan
Section titled “New people ”Someone who arrived recently and starts missing.
- How long someone is new: how long a person counts as new, since they first came, joined or were added, whichever came first. By default, 8 weeks.
- Absences in a row while new: after how many absences in a row they show up while they’re new. By default, 2.
Only someone whose arrival your church’s records can vouch for counts as new: their Join date is filled in, or their record was created after the first meeting that counts at which your church took attendance, and not by a spreadsheet import. So a person who was imported, member or contact, or added before your church started taking attendance, doesn’t show up as new just because they’re marked present for the first time. If a member you imported really did just arrive, fill in their Join date.
Visitors From the Growth Plan
Section titled “Visitors ”Someone who came to a meeting, say with the visitor QR, and nobody contacted afterwards.
- Time to contact a visitor: how long can go by after a visitor came without anyone recording a follow-up. After that, they show up as Visitor not contacted in the inbox of whoever is in charge of them. By default, 72 hours; from 24 to 336 hours, in 12-hour steps.
Visitors are reviewed every hour: a visitor shows up within the hour in which that time runs out, without waiting for the nightly review. A visit counts once its meeting’s roll closes: if the roll closes after that time, the visitor shows up when it closes, and the example on the screen says so. And as soon as someone records a follow-up with them, they no longer show up for this reason.
Reports uses the same time in the Consolidation tab to count who got a follow-up in time, and recalculates its figures when you change it. Read your church’s reports explains it.
Change of habit From the Growth Plan
Section titled “Change of habit ”Someone who comes much less than before, or has been away far longer than usual. Members only.
- How often they came before and Times marked before: someone is only compared if they came fairly often and had enough marks in the 12 weeks before the last month. By default, half of their meetings and 4 marks.
- How far it dropped: they show up if in the last month they came at least this percentage less than before. By default, half.
- Away longer than usual and …and at least: they also show up if they’ve been away twice the time that usually goes by between one visit and the next, and at least 21 days, by default.
Follow-up From the Growth Plan
Section titled “Follow-up ”- No follow-up: how long without a follow-up counts as a reason. By default, 60 days. Only the follow-ups the person looking can read count.
- List someone only because they lack a follow-up: when it’s off, this reason only moves someone up the list if they’re already there for another one. When it’s on, it also shows someone who only meets this one.
- Missed appointment: for how many days a follow-up appointment the person didn’t come to counts. By default, 30.
Leaders who need support From the Growth Plan
Section titled “Leaders who need support ”A leader who might need a hand, over the last four weeks:
- Rolls not taken: encounters and meetings of a type that counts, in that leader’s charge, whose attendance list closed without being taken or a Quick count being saved. By default, 2.
- Pending reports: encounter reports they still haven’t written. A report counts as pending once whoever led the encounter is reminded about it, on the timing set in Notices and deadlines. By default, 2.
- Days without opening the app: by default, 21.
Who configures it
Section titled “Who configures it”Changing these values requires the Configure Care’s signals permission, which the Pastor role has by default.
On the Starter Plan you can adjust the two signals under Absences. The other sections stay in view, with their explanations and examples, but their controls can’t be moved. Above them, a single notice says Advanced Care is not in your plan. Whoever manages the subscription sees See plans there; everyone else is told to ask the account owner.
