Follow-ups and conversion to member
Each time you connect with a contact (a visit, a call, a conversation after the service), you record it as a follow-up. That way you keep the story of how they were accompanied, and whoever takes over next knows where to pick up.
Record a follow-up
Section titled “Record a follow-up”-
Open the contact and select New follow-up. You can also do it from the Follow-ups tab.
-
Under When, enter the date and time of the conversation. A follow-up records something that already happened, so the date can’t be in the future.
-
If you like, choose the Contact type (a message or a visit, for example) and the Topic. Both come from your own list, which grows as you type new values.
-
Write the Notes, which are required: what was talked about and what happens next.
-
Select Save.
Only the person who wrote a follow-up can edit, archive or restore it. It’s visible to the same people who can see the contact.
All follow-ups together
Section titled “All follow-ups together”The Follow-ups tab in Contacts brings together the follow-ups of all your contacts, in Table, Cards, By contact or By date view.
To record follow-ups, you need the Log follow-ups permission.
Convert to member
Section titled “Convert to member”When the person joins the church, there’s no need to enter them again:
-
Open the contact and select Convert to member.
-
Fill in the ministry details: the rung, the leader (Inperia suggests the contact’s person responsible) and the roles (Disciple comes ticked). The email is optional: if the contact didn’t have one, you can add it, and without it they can’t be sent an invitation.
-
If you have the Send invitations permission, you can tick Send email invitation so they can sign in to the app. If you leave it off, the invitation is sent later from their record.
-
Confirm.
When you convert them:
- The new record inherits their notes, tags, family ties, custom fields and, if they hosted a cell group in their home, their place as its host.
- Their follow-ups become pastoral follow-ups of the new member, with the same author.
- Their attendance moves to the member’s record: every time they came as a visitor still counts.
- The new member comes in with the roles you ticked and takes up a spot in your plan’s member limit.
- The contact is archived and can no longer be restored.
- The contact’s change history doesn’t carry over to the member’s record.
To convert a contact, you need the Convert to member permission. Pastoral follow-ups are explained in Pastoral follow-up.
