Import and export
If your church already keeps its people in a spreadsheet, there’s no need to add them one by one: Inperia imports Excel and CSV files, and exports your lists as Excel, CSV or PDF.
Import members
Section titled “Import members”-
In Members, open Import from the list menu.
-
If you don’t have a file of your own yet, select Download template: it’s an Excel file in your language with two sample rows.
-
In Upload file, drag your file in or click to choose it. It accepts Excel (.xlsx) or CSV (.csv) files of up to 10 MB.
-
In Map columns, say which column in your file matches each detail.
-
In Preview, check the first rows and what will be created, filled in or skipped. If a detail differs between your file and an existing record, choose which one to keep.
-
Confirm. The import runs in the background and shows the result when it’s done.
Which columns are imported
Section titled “Which columns are imported”| Detail | Members | Contacts |
|---|---|---|
| First name | Required | Required |
| Last name | Required | Required |
| Optional and unique | Optional | |
| Phone | Optional | Required |
| Gender | Required | Required |
- Gender is written as Male or Female (M or F also work), and capitalization doesn’t matter.
- Phone numbers work best with their country code; if a number doesn’t have one, your church’s country code is used.
- CSV files separated by semicolons or tabs are accepted too.
The rest of the record (rung, leader, roles, tags, family, custom fields, address) isn’t imported: new people come in on the Disciple rung, with the default role and no leader, ready for you to place them in the tree. The import doesn’t send invitations: you send them whenever you want.
People who were already there
Section titled “People who were already there”- Members: they’re recognized by their email; without one, by the same phone with the same first and last name; and if the row has neither an email nor a phone, by the same first name, last name and gender. If the person already exists, the import fills in the details they’re missing, including the email if the record didn’t have one; if a detail is different, it lets you choose in the preview. A row that matches only by name isn’t imported, because it brings nothing new: the preview lists it in case it’s a different person with the same name, whom you can add by hand. If the row matches an archived member, it’s skipped: restore that member first to update them. If your role doesn’t see contact details, the phone isn’t used to recognize them: a row without an email is recognized by first name, last name and gender.
- Contacts: they’re recognized by their email, or by the same phone with the same first and last name. Rows that match a member are skipped and counted as Already members.
If the plan isn’t big enough
Section titled “If the plan isn’t big enough”If your file brings more new people than your plan has room for, Inperia warns you before it starts and offers Import only what fits?: the first people are created, in the order of the file, and the rest are marked No room in the plan.
Who can import
Section titled “Who can import”- Members: the Import members permission with scope over all members. With the roles Inperia comes with, that’s the owner.
- Contacts: the Import contacts permission with scope over all contacts, in your own church.
Each church can run only one import of each type at a time.
Export a list
Section titled “Export a list”-
In Members or Contacts, filter the list if you only want to export part of it.
-
Select Export from the list menu. In Members you can also select people and use Export in the action bar.
-
Choose the format: Excel (.xlsx), CSV or PDF, a listing ready to print.
-
Select Export. The file is prepared in the background and downloads when it’s ready.
The file includes first name, last name, email, phone and gender, for everyone on the list, for the people who match your search and filters, or only for the ones you selected. If the download didn’t start, use Download again.
The leadership tree can also be downloaded as an image from the Tree view: How the ladder works explains how.
