Manage contacts
A contact is someone who isn’t part of the church yet: a visitor, someone who’s interested, a person who left their details at an event. Their record asks for much less than a member’s, on purpose: the idea is to quickly note down someone you just met and walk alongside them until they take the step.
Record a contact
Section titled “Record a contact”-
In Contacts, select New contact.
-
Fill in First name, Last name, Phone and Gender, which are required. Email is optional.
-
If you like, choose who is Responsible: the person who will walk alongside them.
-
Add tags, custom fields or family ties if they help, and save.
As you type, Inperia warns you if the person has already been entered as a contact or as a member. A contact can’t have the email of a church member: if they’re already a member, there’s no need to record them as a contact.
Visitors can also register themselves at a meeting with the Visitors’ QR: they become contacts, present at the meeting and in the care of the person chosen (someone who already had a record keeps whoever had them in their care). Visitors’ QR explains how.
The person responsible
Section titled “The person responsible”The Responsible person can be any active member of the church whose rung can have people in their care, even if they aren’t in your branch. When the contact becomes a member, Inperia suggests the person responsible as their direct leader.
Which contacts you see
Section titled “Which contacts you see”It depends on your role’s scope over contacts:
- Only my contacts: the ones you recorded and the ones you’re responsible for.
- All contacts: every contact in the church.
With the roles Inperia comes with, Pastor and Leader see all contacts, and Disciple only their own.
Search, filter and view
Section titled “Search, filter and view”- Search contacts… finds people by name, email or phone.
- Filters narrows the list by tags, who created the contact, person responsible, latest follow-up, gender, age, date added and city. City lists the cities your contacts already have, with how many there are in each one.
- Table compares details at a glance; Cards helps you recognize the person.
Selecting a contact opens their record, with the Details, Attendance and History tabs, and the New follow-up, Convert to member, Edit and Archive actions. Attendance shows every time they came: Each person’s attendance explains it.
If the contact has an address, their record offers Get directions, which opens Google Maps directions to it, in a new tab or in the app on your phone.
Archive and delete
Section titled “Archive and delete”Archive takes the contact off the list without erasing anything, and frees their spot in your plan’s contact limit. From Archived you can restore them or, if their data has to be erased, open their record and select Delete: it deletes them for good, can’t be undone and requires the Delete archived contacts for good permission.
Contacts can also be imported from Excel or CSV and exported: Import and export explains how.
