Pastoral follow-up

Pastoral follow-up is the record of one-on-one meetings with each member: a talk, a counseling session, a home visit. Each follow-up is a report with its date, its place, its topic and what was discussed. Pastoral follow-up is available on every plan.

The Follow-ups list with the pastoral reports and, for each one, the person, the date, the topic, the attendance and the status
  1. In Follow-ups, select New follow-up.

  2. Choose the Member the one-on-one is with. You can’t write a follow-up about yourself.

  3. Enter the Date and the Time.

  4. Choose the Place and the Topic, from your own list.

  5. If the one-on-one already happened, set the Attendance (Present or Absent) and write the Notes. If the member is studying in a Courses group you teach and you gave them a class during that visit, mark it under Course class: they’re recorded as present at that class, even if they had missed it. Classes, attendance and homework explains it.

  6. Select Save.

The date decides what the follow-up is:

  • A future date saves it as a scheduled one-on-one: the member gets a notification in the app with the day and time. The attendance and the notes are filled in when the day comes.
  • A past date saves it as a record of something that already happened, with its attendance.

A follow-up is Scheduled, Finished or Archived. If the notes are still empty 48 hours after the one-on-one, you get a single reminder to fill them in. That’s the default deadline: your church can change it in Notices and deadlines.

The notes are confidential. A follow-up can be read by anyone who has its author within their scope: for example, the leader of the person who wrote it. Being the person it’s about grants no access: the member doesn’t see the reports about themselves. They find out about a scheduled one-on-one through the notification.

  • Only its author, or someone with the Edit and archive other leaders’ reports permission, can edit a follow-up.
  • The notes are only visible with the View report notes permission.
  • After the one-on-one, you can no longer change its date and time.
  • Table, Cards, By person or By date.
  • Filters narrows the list by dates, attendance and status. Report: Not written shows the one-on-ones that don’t have notes yet.
  • View member opens the person’s record from the follow-up.

Follow-ups, whether scheduled or already recorded, also appear in the Calendar, for whoever can see them.
