App invitations
Adding someone as a member doesn’t give them access to the app: for that, you have to invite them. They get an email with a link to set up their access, and from then on they sign in with the record they already had. Only invite people who will use Inperia: leaders, helpers and anyone you want to be able to see their own information.
Invite a person
Section titled “Invite a person”-
Open the person’s record in Members.
-
Select Send invitation and confirm. The invitation goes to the email on the record: if there isn’t one, add it first with Add email.
You can also tick the invitation when you add the person, in the form’s Invitation section, or invite several people at once with Invite in the list’s action bar. From the Growth Plan Inviting one person at a time is available on every plan. People without an email aren’t invited, and Inperia tells you how many were left out.
To invite people, you need the Send invitations permission.
What the person receives
Section titled “What the person receives”An email with the invitation link, which expires after 7 days. When they open it, they select Create account with that same address (or I already have an account if they already use Inperia). If they create the account with a password, they verify their email first; with Continue with Google there’s no need. Then they select Accept invitation and land inside your church with the roles on their record.
Invitation statuses
Section titled “Invitation statuses”The Invitation column in the list shows where each person stands:
| Status | What it means |
|---|---|
| Not sent | They haven’t been invited yet. If they have no email, it has to be added first. |
| Sent | The invitation went out and hasn’t been accepted yet. |
| Accepted | The person already signs in to the app. |
| Revoked | Someone withdrew it before they accepted it. |
| Expired | Seven days went by without them accepting it, and the link no longer works. Resend it from their record. |
| Bounced | The invitation didn’t arrive: the email bounced, the address doesn’t receive email or it couldn’t be sent. Their record says why and what to do. |
A Sent invitation is managed from the person’s record, with Manage invitation: that’s where you can Resend invitation, which sends them a new link and voids the old one, or Revoke invitation. If 7 days go by without them accepting it, the link stops working and the invitation turns Expired: to send them a new one, open their record and select Resend invitation. If you archive a person with a pending invitation, the invitation is withdrawn automatically.
If an invitation didn’t arrive
Section titled “If an invitation didn’t arrive”An invitation turns Bounced when it didn’t reach the person, for one of these reasons:
- The email bounced: the address doesn’t exist or doesn’t accept messages.
- The address doesn’t receive email: it bounced before or the email provider refuses it. In that case nothing was sent.
- The send failed before it went out. The address may be right.
Whoever added the person (or the owners, if the app doesn’t know who did) gets a notice in the bell with their name, and View record opens their record. At the top of the record, a notice titled The invitation didn’t arrive gives the reason, the date and what to do:
- If the email bounced or the address doesn’t receive email, select Correct email and enter the right address. When you save it, the invitation is sent to the new address again on its own, and the previous link stops working. If the new address doesn’t receive email either, or your church can’t send invitations at that moment, the email changes anyway, the invitation stays Not sent and the app tells you: you can send it later from their record.
- If the send failed, select Resend invitation and confirm.
When a send fails, the problem is usually the sending’s, not each address’s, and it reaches several invitations at once. So that notice names nobody: at most one arrives per hour, Invitations not sent, and Review invitations opens the member list filtered to Bounced, where you resend each one from its record.
Correct email requires the Change login email permission and being able to give the person the roles they have; Resend invitation, the Send invitations permission. The invitation stays Bounced only while the record’s email is the address that failed: if you’ve already changed it, the old address’s bounce changes nothing.
Inperia doesn’t send invitations to an address it already knows doesn’t receive email:
- If you invite one person from their record, the app tells you why it can’t send it and sends nothing. Correct their email to invite them.
- If you invite several people at once, those invitations aren’t sent and turn Bounced. Whoever sent the invitations gets a single notice saying how many weren’t sent, and Review invitations opens the member list filtered to Bounced.
Sending limits
Section titled “Sending limits”To help emails get delivered, a new church can send up to 100 invitations per day. That limit holds until the church builds up a clean sending history: emails that arrive and few bounces. If too many invitations bounce, sending is paused, and the Dashboard shows the Bounced invitations so you can fix those addresses.
