Schedule meetings

Meetings is your church’s agenda: services, studies, rehearsals, fasts and any gathering it calls. Each meeting has its date, its place, the person leading it and its attendance list. Meetings is available on every plan.

The Meetings list on the Agenda tab, with a meeting in progress and its attendance, and the upcoming scheduled meetings
  1. In Meetings, select New meeting.

  2. Enter the Date, the Start time and the End time. Times are in the church’s time zone.

  3. If it repeats, choose how under Repeat: Meetings that repeat explains how.

  4. Choose the Place and the Topic. Both come from your own list, which grows as you type new values. The topic is the meeting’s name; if you leave it blank, it shows as “Meeting”.

  5. If your church uses meeting types, choose the Meeting type. It decides whether the meeting counts toward each person’s attendance: Meeting types explains how.

  6. Choose who it’s Led by and, under Who for, who you’re calling together.

  7. Set up the Notice if you want to notify the people involved, and select Save.

The New meeting form with Topic, Meeting type, Date, Start time, End time, Repeat and the What the time you pick decides box

A place can have its address and its point on the map. With a Place chosen, Place location opens Where “…” is below the field: type the Address, place the pin by searching for the address, dragging it or with Use my location, and select Save location. Remove address and pin deletes both. From then on, whoever sees a meeting or a class at that place sees how to get there.

Your places’ addresses are yours, like the list: others only see them as the place of a meeting they can see.

  • Whole church: everyone sees it on their calendar.
  • Segmented: only people who carry one of the Segment tags. With Include contacts, contacts with those tags also go on the attendance list.
  • Specific people: the members and contacts you pick by name.

With Whole church or Segmented, Excluded tags leaves out anyone who carries one of those tags: they don’t see the meeting, don’t get the notice and don’t appear on the list.

With Tell the people involved, the people called to the meeting and the person leading it get a notification in the app. You choose When to tell them:

  • On save: the notice goes out right away.
  • Before the meeting: the number of days before and the time you set. 0 days means the same morning.

The form starts with the notice your church proposes in Notices and deadlines, and you can change it for each meeting.

If you’ve already sent the notice and then change the date and time, the place or who you’re calling together, Inperia points it out so you can Tell them again. Other changes, such as the topic or the notes, don’t ask for it. Each meeting can only send a few notices in 24 hours. If you reach the limit, Inperia lets you know.

When you open a meeting you see its panel, with its details and, depending on the moment:

  • Type: the meeting’s type. On a meeting that has already happened, Change corrects it.
  • Take attendance or View attendance: opens the list. Take attendance explains how.
  • Visitors’ QR: so visitors can register themselves from their phone. Visitors’ QR explains how.
  • Once attendance has been taken, Against earlier ones compares how many came with earlier meetings of the same type, and Quick count shows how many people were counted, if someone counted them.
  • If its place is on the map, a small map and Get directions, which opens Google Maps directions to it, in a new tab or in the app on your phone.

When you open a meeting you can edit it, cancel it or delete it:

  • Cancel meeting leaves it on the calendar marked as cancelled, so nobody loses the record that it was planned. It can be brought back with Reinstate.
  • Delete removes it as if it had never been planned. You can only do this before it starts and if no attendance has been taken; otherwise, cancel it.
  • A meeting that has already ended can’t be cancelled or reinstated. What can still be corrected is explained below.

The Agenda tab shows meetings from today on, and History shows the earlier ones. Each meeting is Scheduled, In progress, Finished or Cancelled, according to the clock.

When a meeting ends, its date, its times, its place and its topic stay as they were. But what was said, or who actually led it, is often only known afterwards. That’s why Edit stays on the panel: it opens the meeting with a notice at the top that says what you can correct.

  • Notes: always. Only whoever has the View meeting notes permission sees and corrects them.
  • Led by: always.
  • The Who for tags, while the attendance list is still open: the Segment tags of a Segmented meeting and the Excluded tags of one for the Whole church or Segmented. That way you correct who the meeting was expecting. Once the list closes, the tags stay as they were. A meeting published on a public calendar can’t take excluded tags.

The correction applies only to that meeting, even if it’s part of a series, and it doesn’t notify anyone. A cancelled meeting that has ended has nothing left to correct: Edit shows as switched off and says why. The type is corrected separately, with Change: Meeting types explains how.

Call the network From the Growth Plan

Section titled “Call the network ”

If your church has a church network, Call the network sends a meeting to up to 25 churches in the network, which see it on their agenda and take their own attendance. The owner of the church calling the meeting does this. On the Expansion Plan, the churches can also be chosen on the map, in the Map view. The network is explained in Church network.
