Registration links
A registration link brings people into your church without you having to add them one by one. You share it on the church’s social media, over WhatsApp or as a QR code during the service: whoever opens it creates their account, fills in their details and becomes a member, placed in the tree and given the roles you chose for the link. Links are available on every plan.
In Members, open Registration links from the list menu. The screen has two tabs: Links and Pending.
Create a link
Section titled “Create a link”-
In Registration links, select New link.
-
Enter an Internal name, such as “Sunday service” or “Instagram”. Only the church sees it.
-
Under Where they will go, choose the Rung and the Direct leader of the people who join through the link. The rung starts at Disciple, and only leaders within your scope are offered. Without a leader, people are Unassigned; on the top rung, that option is called Root of the tree.
-
Under What they will be able to do, tick the roles they join with. Your church’s default role is already ticked.
-
Under How they join, choose Direct or With approval. The next section explains the difference.
-
Under Limits, you can fill in Last day and Most people. Left empty, the link never expires and has no limit. The link works until the end of its last day, in the church’s time zone, and requests in progress also count toward the maximum.
-
Check How it will work, the summary of what’s going to happen, and select Create link. The link’s panel opens, ready to share.
You can change all of this later, but editing a link only affects the people who join from then on: nobody who already joined changes place or roles.
Direct or with approval
Section titled “Direct or with approval”- Direct: people join as soon as they fill in their details.
- With approval: someone who runs the link accepts each person first, and then they fill in their details. While they wait, the church only sees their name and email.
If the link hands out any role beyond the default one, it has to be With approval: Direct can’t be chosen. Here’s why: whoever holds the link holds what it grants, and a link travels further than the people you meant it for, because it gets forwarded, posted or someone takes a photo of the QR. With approval, nobody gets a role with more access without someone from the church seeing it first.
For the same reason, even when the link is direct, someone who already has a record in your church that would give them more than the link must wait for approval: one with any role beyond the default one, or with an invitation that bounced or was revoked. In Pending, their request carries the Has a record mark.
Share the link and its QR code
Section titled “Share the link and its QR code”Select a link in the list to open its panel. At the top, under Share, you’ll find the link’s address with its buttons:
- Copy link copies the address, to paste it into a message or the church’s social media.
- Share opens the phone’s apps to send it. It shows up on devices that support it.
- QR code shows the code to put on the screen during the service: whoever scans it registers from their phone. Download QR code saves it as an image, for a poster, the bulletin or a slide.
Below are the Details (where people go, which roles they get, how they join, the last day, the uses and who created the link) and Who joined, with the date each person joined.
If the link has reached places it shouldn’t, select Generate new link. The old address and its QR code stop working at once, and anyone who opens them reads that the link doesn’t work. The link keeps its settings, its uses and its requests: only the address changes, and you need to share it again.
What people see when they register
Section titled “What people see when they register”The address opens a page from your church, in the church’s language, which the person can change right there; their account takes the language they choose. The page tells them whether they’ll join directly or whether someone from the church will approve them first.
-
The person selects Create account, or I have an account if they already use Inperia. If they need to verify their email, once they verify it and sign in they come back to the link, even if they open the email in another browser.
-
Signed in, they select Continue. Opening the link doesn’t start anything on its own: the request starts with that tap.
-
They fill in their First name, Last name, Gender and Nationality, plus the required custom fields of Members, and select Join. They’re now a member of your church, and Go in opens the app.
If the link is with approval, after Continue the person sees Your request is pending (unless your church already has their record; see below). When someone approves it, they get an email to fill in their details; if it’s rejected, they get an email that tells them. A request waiting for approval or for details expires after 30 days, and a few days before that Inperia reminds whoever has to act.
If your plan has no room left when the person fills in their details, they see Waiting for a seat: their details are saved, and they join on their own, in order of arrival, as soon as there’s room. Inperia lets them know by email.
If your church already has an active record with their email, and that record doesn’t have an account yet, the person doesn’t create another one. They confirm the email is theirs with a code that’s emailed to them right then, and fill in only the required details that are missing. They don’t wait for approval even if the link is with approval, because your church already knows them, unless their record would give them more than the link: a role beyond the default one, or an invitation that bounced or was revoked. Their account is linked to that record, with the rung, leader and roles it already had, it doesn’t take up a new spot in the plan and, if it had a pending invitation, that invitation is cancelled. If the record is archived or inactive, or already has another account, the page asks them to talk to the church. A record without an email can’t be recognized this way: if the person was already added without one, they join with a new record, and the two are combined with Merge. To avoid that, add their email to the record before you share the link with them.
When someone joins, whoever created the link and the leader they’re placed under get a notice. Notices for the same link are grouped for a few minutes: a Sunday with lots of registrations is one notice, not one per person.
Approve or reject requests
Section titled “Approve or reject requests”The Pending tab gathers the open requests, oldest first: the ones waiting for approval, the ones from people filling in their details and the ones from people waiting for a seat in the plan. At the top, a summary counts how many there are of each kind; select a number to see only those. With the filters you can also see the closed ones, or only the ones from one link.
When someone asks to join through a link with approval, whoever created the link and the owners get a notice. On the Dashboard, the Requests to approve card counts them and brings you to this tab.
- Approve is on requests waiting for approval. The person gets an email to fill in their details, and has 30 days to do it. If your plan has no room left when they do, they wait in line.
- Reject is on any open request and asks you to confirm. The person gets an email that tells them, and if their Inperia account existed only for that request, it’s deleted.
A request with the Has a record mark is from someone your church already has on file. When you approve it, their account is linked to that record, with its rung, leader and roles, and it doesn’t take up a new spot. Only someone who reaches that record and can give it those roles can approve it; the owners always can.
To reject all of a link’s open requests at once, for example for a link that was shared too widely, open the link and select Reject requests. Each person gets their email, as if you had rejected them one by one, and the people who already joined don’t change. It’s a good idea to turn the link off too.
People waiting for a seat don’t need approving: they join on their own, in order of arrival, as soon as there’s room.
Link statuses
Section titled “Link statuses”The Status column of the list and each link’s panel show what status it’s in:
| Status | What it means |
|---|---|
| Active | It takes registrations. |
| Turned off | Someone turned it off. Turn on opens it again with the same address. |
| Expired | Its last day has passed. Change the last day so it takes registrations again. |
| Used up | It reached its maximum number of people, counting requests in progress. Raise it so it takes registrations again. |
| Needs attention | Something in its settings stopped holding up. The panel says what. |
| Paused: no seats | Your plan has no room for more members. It takes registrations again on its own as soon as there’s room. |
Only an Active link takes new registrations. Whoever opens one that is Paused: no seats reads that your church has no room right now and to try again later; with the others, they read that the link isn’t taking sign-ups. Requests in progress can be approved or rejected in any status.
A link turns Needs attention when something it needs in order to work stopped holding up:
- Whoever created it is no longer in the church, no longer has their own access to it or can no longer run links or create members.
- The link’s rung, or one of its roles, no longer exists.
- The leader is no longer active, their rung can no longer lead anybody, or the leader now stands below the link’s rung.
- The link is direct but hands out roles beyond the default one, for example because the church changed its default role.
- Whoever created it no longer reaches where the link places people, or the link’s roles go beyond what they can hand out.
Inperia never places anyone somewhere else on its own: the link stops and whoever created it is notified, or the owners if whoever created it can no longer fix it. Edit it to fix it: it works again on its own as soon as its settings hold up.
Paused: no seats depends on your plan’s member limit. If someone fills in their details and your plan has no room left, they wait in line, and your church has 30 days to free up spots or move to a bigger plan; whoever created the link and the owners get a notice and an email. People waiting join on their own as soon as there’s room. If there’s still no room when that time is up, those requests expire and the links stay paused until there’s room. When you create a link, If the seats run out tells you how many free spots your plan has.
Edit, turn off or delete
Section titled “Edit, turn off or delete”From the link’s panel:
- Edit changes its settings, and only affects the people who join afterwards. If someone else created the link, it becomes yours when you save: it works with your permissions and its notices reach you. That’s why the app asks you first, with Take over this link?.
- Turn off stops it from taking registrations, without changing the address. Turn on opens it again with the same address and the same QR code.
- Delete only appears if nobody has used the link yet. A link that has been used can’t be deleted, only turned off: the people who joined through it keep it in their history.
You can open and manage the links you created, and other people’s links too, as long as you could create the same link yourself: with the placement within your scope and roles you can hand out. The owners manage all of them.
Who can manage links
Section titled “Who can manage links”Creating and managing links, and approving or rejecting requests, takes two permissions: Run registration links and Create members, because a link creates members. With the roles Inperia comes with, Pastor and Leader have them, and the owner always can.
You also need your church’s own access. Someone who comes in from another church in the Church network (the main church, the covering church or delegated access) doesn’t create links, manage them or approve requests.
Each link places people only within your scope and only gives them roles you can hand out.
