Notices and deadlines

In Notices and deadlines, your church sets its own timings: from when and until when attendance can be taken, when people are reminded of what’s missing and when the summaries arrive. They apply to the whole church, and the app’s screens always show your church’s timings.

  1. Go to Settings › Notices and deadlines.
  2. Change each value. Next to it you see what it changes, and the examples with a day and time rewrite themselves with what you choose.
  3. The bar at the bottom counts the unsaved changes. Select Save, or Discard changes to leave everything as it was.

Without the plan that sends their notices, the sections for the weekly digest and the monthly summary stay in view, with their explanations and examples, but their controls can’t be moved, and a notice in each one says it isn’t in your plan.

The Notices and deadlines screen with the defaults: the Attendance roll across the whole screen, with its timeline from Opens to Closes, an example and its first values
  • Each section says what it decides and, under Where you’ll notice it, which parts of the app show it: the Attendance roll, The bell, Care, Reports or the Meeting form.
  • Each value says what it changes, and many carry an example with a day and time that rewrites itself as you change it.
  • Below each control you see Inperia’s value, under Default, and Back to the default if you chose another one.
  • A value you changed and haven’t saved yet is marked Not saved, and the bar at the bottom says how many changes are waiting.
  • Each section takes the whole width of the screen. On a wide screen, each value reads as one row: its name and what it changes on the left; the control, the example and the default on the right. On a phone, one below the other.
  • The roll changes at once: as soon as you save, each list still open or yet to open follows the new timing; one that already closed doesn’t open again.
  • Notices use the new value at their next check: the roll’s every 10 minutes, the reminders and summaries every hour.
  • Reports calculates its figures from when the list closes and from the report reminder: if you change either one, it recalculates them.

A line draws the roll of a sample meeting, on a Sunday from 10:00 AM to 12:00 PM, with its four moments: Opens, The meeting, Reminder and Closes. It redraws as you move the values, and a sentence below says the same. With the defaults: “the roll of a Sunday meeting from 10:00 AM to 12:00 PM opens on Sunday at 9:30 AM and closes on Monday at 12:00 PM. If nobody took it, the bell tells whoever leads it on Monday at 6:00 AM”.

ValueDefaultRange
Opens before it starts30 minutesFrom When it starts to 3 hours, in 15-minute steps
Closes after it ends24 hoursFrom 2 hours to 7 days
Reminder before it closes6 hoursFrom 1 to 72 hours, always before the list closes
  • The list for a meeting or an encounter can be taken and corrected between when it opens and when it closes. The Visitors’ QR takes registrations within the same window.
  • If nobody has taken attendance at a meeting that counts, the Attendance to take notification goes to whoever leads the meeting, as long before the list closes as you set. Take attendance explains which meetings send it.
  • Care and Reports only count closed lists: a later close means a longer wait for their numbers.
  • A list that has already closed doesn’t open again, even if you extend the deadline. If you shorten it, the open lists that are already past the new deadline close at that moment.
  • The attendance list of a Courses class opens with the same Opens before it starts, but doesn’t close: it stays open as long as its group is open. If nobody took it, whoever gives the class gets the A class’s attendance notification when one would go out for a meeting: by default, 18 hours after it ends.

Remind about the report says how long after the encounter, or after it was added to the app if that came later, whoever led it is reminded that they still haven’t written the report. By default, 48 hours; from 6 hours to 7 days. From then on, the report counts as pending in Care and in Reports, so an encounter added days after it took place isn’t pending until its reminder goes out.

Remind about the notes says how long afterwards whoever recorded a follow-up is reminded that they still haven’t written the notes. It’s counted from the one-on-one or from when the follow-up was recorded, whichever came later. By default, 48 hours; from 6 hours to 7 days.

What the form proposes when you create a meeting or an encounter. You can change it in each one, and meetings that already exist don’t change.

  • When to notify: On save or Before each meeting. By default, on save.
  • Days before and At: for meetings that notify beforehand, and for repeating ones. By default, 1 day before at 9:00, in the church’s time zone.

Weekly Care digest From the Growth Plan

Section titled “Weekly Care digest ”

Day and Time say when each leader hears how many people need their attention. By default, on Mondays at 8, in the church’s time zone. Care explains it.

Monthly summary From the Growth Plan

Section titled “Monthly summary ”

Day of the month and Time say when the notice goes out that the month summary for the previous month is ready to read or print. By default, the 1st at 8; it can be any day from the 1st to the 10th. If the list closes several days after each meeting, it’s best to pick a day after that deadline.

Below each value you see Inperia’s. If you set it back to that, or select Back to the default, from then on your church follows the default, even if Inperia changes it later.

Changing these timings requires the Set notices and deadlines permission, which the Pastor role has by default. The church’s owner always can.
